SERVICES
Using the
Collections
Using
materials in SDSU Archives & Special Collections is different from using
materials in the library. For patrons, finding materials and getting what they
want will require a few additional steps. There are certain rules
and procedures that must be followed. Using materials housed
archives always requires staff assistance.
Finding Material
Most of the books and serials
housed in SDSU Archives & Special Collections may be located by browsing
the library catalog. Their location will be noted by ARCHIVES or SD
COLLECTION preceding the call number.
Most of the archival and manuscript materials do not have records on
the online catalog. Those that are found on the online catalog
are not as complete as our own finding aids. These finding
aids will help patrons identify what they need more precisely. It is usually a good idea for
patrons to consult with an Archivist before starting any major project
using the archives, as some material may not be found through
traditional channels.

Materials
Use Policy—General
All material located in Archives
& Special Collections may be used only with supervision.
All material held by Archives &
Special Collections does not circulate.
All material must be reviewed by
Archives & Special Collections staff before it leaves the reading
room. Researchers removing items from the reading room must sign
the “Items Removed from the Reading Room” register.
Researchers who wish to view
archival or manuscript material will be asked to complete a
“Research Registration Form.” This form will only need to be
completed on the first visit of each researcher.
Researchers will be asked to
sign in each time they use the reading room.
University staff from the
originating offices, with the permission of the University
Archivist, will be asked to complete an “Outgoing Loan Form” for
off-site use of their materials. The terms of the loan are subject
to the rules found on the “Outgoing Loan Form.”

Disability Access and
Services
The main entrance to the library
is accessible by wheelchair. An elevator in the lobby provides
access to the Upper Level where Archives & Special Collections is
located.
If physical difficulty in
accessing or using materials is encountered, Archives & Special
Collections staff will provide assistance as needed.

Restrictions on Use
The use of certain materials may
be restricted by statute, by the office of origin, or by the donor.
For the protection of its
collections, Archives & Special Collections also reserves the right
to restrict use of records that are not arranged, are being
processed, or are exceptionally valuable or fragile. In some cases,
copies may be substituted for originals.
There is no limit to how many
times a researcher may request materials.

Reproduction
Policy—General
Photocopying from the archive’s
holdings will be allowed depending on the condition and size of the
items.
All photocopying will be done in
the reading room, at regular rates (see Fee Schedule).
Patrons may be asked to pay for
their copies before receiving services.
Staff will provide handling and
photocopying instructions to ensure that items are not damaged.
The archives reserve the right
to limit the size of photocopy requests.
All scanning will be performed
by Archives staff only. Researchers may use portable digital
equipment (e.g., cameras, scan pens) to photograph images,
manuscripts and books with permission from the University
Archivist. Other equipment, such as a flatbed scanners, etc. is not
allowed.
Research and other service
requests are welcome, subject to scheduling priorities due to
limited resources.
Photographic
Images—Photographs, Negatives, Slides
Reproduction of all photographic
material is performed by Archives staff.
Permission for the reproduction
of photographs is on a one-time only, non-exclusive basis.
If the reproduced photographic
image(s) is intended for use in a publication, a “Permission to
Publish or Quote Form” for must be filled out and signed by the user
and the University Archivist. The proper credit line will be
supplied and its use in all publications is required.
Archives and Manuscripts
Material—Paper Materials, Blueprints, Artifacts, Rare or Fragile
Books.
Photocopying from the archives
and manuscript material will be allowed depending on the condition
and size of the items.
Multimedia Material—Audio
Reels, Tapes and Cassettes, Video Tapes, Films, Microfilm, Etc.
These materials will be listened
to and/or viewed on the appropriate equipment located on the Main
Level of the library in the Reference area.
Films and videotapes for use in
classroom presentation require permission of the University
Archivist and the originating office, if applicable. In such cases
an “Outgoing Loan Form” will need to be completed. The terms of the
loan are subject to the rules found on the “Outgoing Loan Form.”
Copies of films and videotapes
may have to be obtained through another university department; rates
for these services would be determined by that department.

Reading Room Rules
All users must sign the logbook.
First time users must fill out a “Research Registration Form” in
addition to signing in.
Researchers will be asked to
leave a photo ID (preferably a Driver’s License or SDSU ID) with
archives staff. The ID will be held until research is complete for
the day
All personal belongings, except
those needed for the taking of notes, must be stored on the coat
rack.
Pencils and notebook computers
may be used for note taking. No pens are allowed in the reading
room. Pencils are available from Archives & Special Collections
staff.
The materials in the room must
be handled with respect and care. Materials must be used with
supervision in the reading room, with the exception of videos or
other media which must be removed from the reading room for use.
Photocopying may be done only
with permission Archives & Special Collections reserves the right to
refuse photocopy requests if the material is fragile or may be
damaged by the photocopying process.
Note: The copyright law of
the United States (Title 17, U.S. Code) governs the making of
photocopies or other reproductions of copyrighted materials. If
a user makes a photocopy or reproduction for purposes in excess
of “fair use,” that user may be liable for copyright
infringement.
Archives & Special Collections
staff will reshelve items. Please leave items on the table or
designated shelf.
Eating, drinking, and smoking
are not allowed in the reading room.
Researchers removing any
material from the Reading Room without approval may be referred to
the University Police Department for prosecution.
Archives & Special Collections
maintains records of patron visits to and research at the archives.
These records are subject to the provisions of the USA PATRIOT ACT
of 2001, Public Law 107-56.

It is the
responsibility of anyone reproducing material to determine the
copyright holders and obtain permission from them if necessary.
Archives staff will provide available
copyright information on request. Please note that most
collections, especially those received before 1997, may not have

Payment for
materials made at H.M. Briggs Library must be submitted at the
Circulation Desk.
